POSITIVE ONE CORPORATION ("we", "us") sets out in this policy how we handle personal information and browsing data on the websites operated as Positive ONE Group listed below (the "Sites"). This policy applies to all of the Sites. We comply with the Act on the Protection of Personal Information of Japan and related laws and guidelines.

3. Information we collect

• Information you enter in our inquiry and quotation forms: company or organization, department, name, email address, phone number, type of inquiry, products and technical requirements under consideration, message and attachments
• Information added automatically when you submit a form: the URL of the page you sent it from, items you selected in our product finder, date and time, and your IP address
• Information collected automatically when you browse: IP address, browser and device type, referring URL, pages viewed and when, actions on the Sites (such as button clicks and site-search terms) and identifiers such as cookies

• To answer your inquiry and provide quotations, documents and evaluation versions
• To propose product configurations and support technical consultations and deployment
• To provide support, maintenance and license renewals after a contract, and important notices such as product updates and end-of-life
• To analyze how the Sites are used and improve their content and usability
• To operate the Sites securely, including preventing abusive submissions

We will ask for your consent before using your information for any other purpose.

5. Sharing with third parties

We do not share or sell your personal information without your consent, except where required by law. When we consult a manufacturer (including overseas manufacturers) about a technical question, we share only the technical information needed for the answer. If your name and contact details are needed, for example to issue an evaluation version or license or for a partner distributor you designate, we will tell you the recipient and its country and ask for your consent first.

6. Service providers and transfers outside Japan

We supervise these providers appropriately; Akismet is used through Netlify. Because they are located in the United States, your inquiries and browsing data are processed and stored outside Japan. For the U.S. data protection system, see the survey published by Japan's Personal Information Protection Commission. For the providers' safeguards, see the Netlify privacy policy and the Google privacy policy; we will also provide information about these safeguards on request. When you submit a form you agree to this policy, including processing by these overseas providers. If you do not want your information processed outside Japan, please contact us by phone (+81-3-3256-3933) instead of using the form.

7. Cookies and analytics (Google Analytics)

We use Google Analytics 4 to understand and improve how the Sites are used (measurement IDs are listed in section 1). Google Analytics uses cookies (_ga, _ga_<ID>) to collect the pages you view, when you view them, the referring page, your device and browser type, approximate location and actions on the Sites. We never send what you type into our forms (such as your name, email, phone number or message) to Google Analytics, and strings that look like email addresses or phone numbers in URLs or search terms are redacted before sending. We do not use advertising features (ad personalization or remarketing). See How Google uses information from sites or apps that use its services.

• Visitors from the European Economic Area (EEA), the UK, Switzerland and Türkiye: no analytics cookies are set and nothing is sent to Google Analytics until you choose "Accept" in the banner at the bottom of the page.
• Visitors from other regions: we measure usage for the purposes above. You can opt out at any time.
• Changing your choice: use the "Change cookie settings" button below (also available as "Cookie settings" at the bottom of each page). Your choice is stored in the cookie p1_consent for about 13 months and applies to all positive-one.com subdomains. You can also use the Google Analytics Opt-out Browser Add-on or your browser's cookie settings.
• Declining does not affect your use of the Sites.

9. Retention

• Inquiries: kept after we have responded so that we can provide ongoing support and handle follow-up questions, and deleted when no longer needed. You can ask us to delete them at any time (see section 13).
• Analytics data: kept for the period set in Google Analytics (up to 14 months) and then deleted automatically.

10. Security

All pages are served over HTTPS, access to inquiries is limited to staff who need it, and we take other necessary and appropriate measures against leakage, loss or damage. We require the same of our providers. Please do not enter passwords, private keys or other secrets in our forms.

11. Your requests

You may ask us to notify you of the purpose of use of, disclose (including records of provision to third parties), correct, add to, delete, stop using, erase or stop providing to third parties the personal data we hold about you. After verifying your identity we will respond without delay in accordance with the law. Please contact us as described in section 13.

12. Visitors outside Japan

For visitors in the EEA and the UK, POSITIVE ONE CORPORATION is the controller. We handle inquiries as steps prior to entering into a contract or on the basis of our legitimate interests, and use analytics cookies only with your consent. You have the right to access, rectify, erase, restrict, port and object to the processing of your data, to withdraw consent and to lodge a complaint with a supervisory authority. Japan is covered by an adequacy decision of the European Commission; transfers to our U.S. providers rely on safeguards such as standard contractual clauses adopted by each provider. If you have rights under the laws of another country or region, please also contact us as described in section 13.

14. Changes

We may revise this policy to reflect changes in law or in our services. We will publish any revision on this page and announce important changes on the Sites. This policy is provided in several languages; if there is any discrepancy, the Japanese version prevails.
